Best AI receptionists for small businesses in 2026

An honest comparison of seven AI receptionists in 2026: Smith.ai, Goodcall, Rosie, Frontdesk, Synthflow, Ruby and Ordina, with prices and who each one suits.

OTOrdina Team · 17 October 2026 · 8 min read

An AI receptionist answers the calls and messages you cannot get to, so a missed call stops being a missed customer. In 2026 there are dozens of them, and they are not the same product. Some are phone-first and priced per call. Some are built for contact centres. Some are chat-first and handle booking and payment as well.

We compared seven, including one human service as a benchmark, so you can pick the right kind before you compare features.

Our bias, and how we compared

We make Ordina, so we are biased; here is how we compared and where others are the better choice. We read each vendor's own pricing and product pages in October 2026 and noted what they publish: price, what is included, channels, booking, and who it is built for. We did not run paid trials of every product, so we stuck to what each company states and flagged anything we could not confirm. Where another tool is the better fit, we say so plainly.

1. Ordina: best for chat-first service businesses

Ordina is an AI Secretary for small service businesses: salons, barbers, clinics, tutors, consultants. It answers on your booking page, your website chat widget, Telegram and email, and it can answer your phone through call forwarding (in beta). WhatsApp on your own number is in early access while Meta approves it, and Instagram and Messenger are in early access while Meta reviews them.

What sets it apart is that answering is only the start. The Secretary books from your live availability, takes payment upfront or in person, sends reminders the evening before (and about an hour before on WhatsApp), and runs a Store for products. It reads your website so its answers match your business. Owners get a dashboard, a phone app and their own Secretary that runs the business by chat.

Price: Pro is $15 a month ($150 a year) with 150 Secretary conversations; phone calls are paid per minute from a prepaid balance. Business is $39 a month ($390 a year) with 400 conversations and 100 call minutes. Every account starts with a 7-day Pro trial, no card needed. Ordina takes no fee from your sales.

Choose it if: most of your customers message rather than call, and you want booking, payments and reminders handled by the same assistant, in several countries and currencies.

Look elsewhere if: the phone is your main channel and you need a mature voice product today, or you need live human agents as backup. Our phone answering is in beta, books only services that need no upfront payment, and takes a message for the rest.

2. Smith.ai: best AI with humans behind it

Smith.ai offers two products. The AI Receptionist has a free tier (25 calls, then $3 per call), Pro from $150 a month for 75 calls, and Enterprise from $500 a month for 300 calls. Its human receptionist plans start at $300 a month for 30 calls, staffed around the clock by North America-based agents.

Strengths: the AI can hand a call to a live receptionist, and Smith.ai says there is no fee when the AI starts that handoff. It has strong integrations for law firms and CRMs (Salesforce, HubSpot, Clio), plus Calendly, Zapier and Make. English and Spanish are supported.

Choose it if: you run a law firm or professional practice and want a real person available when the AI is not enough.

Watch out for: per-call pricing adds up on busy lines, and human plans cost far more per call than AI ones. Some add-ons, such as a live agent helping on an AI call, are not priced on the page.

3. Goodcall: best for predictable billing

Goodcall charges by unique customer, not by minute: Starter is $79 a month for 100 customers, Growth $129 for 500, and Scale $299 for 2,000. Goodcall says it never meters minutes, so a long call costs the same as a short one.

Strengths: predictable bills, good value at volume, and you can build and test an agent for free before you connect a number. It connects to Google Calendar, HighLevel and Zapier.

Choose it if: you get lots of repeat callers and want a flat, easy-to-forecast bill.

Watch out for: it is phone-first, and the named integrations list is short.

4. Rosie: best entry price for trades

Rosie starts at $49 a month for 250 minutes, with Scale at $149 for 1,000 minutes and Growth at $299 for 2,000. There is a 7-day free trial. It trains itself from your Google Business Profile and website, answers in English and Spanish, and includes free website chat.

Choose it if: you are a solo tradesperson or home-services owner who mainly needs calls answered and messages taken.

Watch out for: calendar booking is only on the Scale and Growth plans, and we could not find published overage terms on its pricing page.

5. Frontdesk (My AI Front Desk): best all-in-one for phone and chat

My AI Front Desk now goes by Frontdesk. Its Business-in-a-Box plan is $99 a month, or $79 a month billed yearly, and includes 200 voice minutes, 100 chatbot conversations, 400 SMS and more. Overage is $0.25 a minute for voice. It has a 7-day trial.

Strengths: the widest set of channels at this price (voice, web chat, two-way SMS, email and forms), a built-in CRM and calendar, and support for more than 20 languages.

Choose it if: you want one tool for calls, texts and chat, and your call volume is moderate.

Watch out for: 200 minutes goes quickly on a busy line, and API access is on its Enterprise plan.

6. Synthflow: best for contact centres, not small shops

Synthflow is a voice AI platform with deep telephony support (SIP, Genesys, RingCentral and others) and enterprise compliance. Its pricing page now lists Enterprise contracts starting at $30,000 a year.

Choose it if: you run a contact centre or a large multi-site operation with a team to build and maintain agents.

Watch out for: at that price and complexity, it is not a fit for most small businesses. We include it because it still appears in many "best AI receptionist" lists.

7. Ruby: the human benchmark

Ruby is not AI. It is a team of live receptionists answering 24/7 for businesses in the US and Canada. Receptionist plans start at $250 a month for 50 minutes, up to $1,725 for 500 minutes. Live chat is a separate plan from $143 a month for 10 chats. Bilingual Spanish service is included.

Choose it if: every caller must reach a person, for example in high-value or sensitive work, and you serve customers in the US or Canada.

Watch out for: per minute, it costs several times more than any AI option here, and Ruby does not publish its overage rate.

How to choose

Start with one question: how do your customers reach you?

  • Mostly by phone, and you need it handled now: Goodcall, Rosie or Smith.ai. Pick Smith.ai if you want humans as backup.
  • By phone and text, in one tool: Frontdesk.
  • Mostly by message (your website, booking page, email, Telegram), and you want the assistant to book, take payment and remind: Ordina.
  • Every call must reach a human: Ruby.
  • You run a contact centre: Synthflow.

Then check three things on any shortlist: whether it can book into your real calendar on the plan you can afford, what happens to calls or chats past the allowance, and whether it takes payment or only messages.

Where Ordina is not the right fit

We would rather you choose well than choose us. Ordina is not the right tool for an enterprise phone centre, for a business that needs live human receptionists, or for a team whose work happens almost entirely on the phone today. It is built for small service businesses that want one assistant to answer, book, take payment and follow up, in many countries.

FAQ

What is the best AI receptionist for a small business?

It depends on your channel. For phone-heavy businesses, Goodcall, Rosie and Smith.ai are strong choices. For businesses whose customers mostly message and book online, Ordina handles answering, booking, payment and reminders in one place.

How much does an AI receptionist cost in 2026?

Small-business plans in this list start between $15 and $150 a month. Phone-first tools usually charge by minute, call or caller. Enterprise platforms such as Synthflow start at $30,000 a year. Human services such as Ruby start at $250 a month for 50 minutes.

Can an AI receptionist book appointments?

Many can, but often only on higher plans. Rosie books on its Scale and Growth plans, Goodcall connects to Google Calendar, and Ordina books from your live availability on every plan.

Is an AI receptionist better than a human one?

AI is far cheaper and never sleeps, and it handles routine questions and bookings well. A human service such as Ruby is worth the cost when every caller must reach a person. Smith.ai combines both.
