Knowledge & FAQ

Every answer,
in your own words.

Your Secretary is only as good as what it knows. Ordina reads your website, takes your PDFs and keeps the notes you write, then the Secretary answers customers from them, with prices, times and stock straight from your Store.

Three ways in

Teach it once,
in whatever form you have.

Your website

Paste your address. Ordina reads the page and the pages it links to, keeps the readable text and leaves out menus. Products on your site come with their names, prices and pictures.

Your documents

Price lists, brochures, menus and terms as PDFs. The text is read along with the rest of your knowledge; a scanned picture of a page is not.

Your own notes

The things not written down anywhere: parking, what to bring, how you like customers spoken to. Up to 8,000 characters, read before every reply.

Which fact wins

Live facts beat
old pages.

Prices, durations, stock and opening hours always come from your Store at the moment a customer asks, even if a page on your website still says something else. Everything else comes from your notes, documents and site together.

When it does not know

A gap becomes an answer
in one line.

It says so

Instead of guessing, it tells the customer it does not have that detail, and on your website it asks how to reach them.

You see the gap

The question is marked in the transcript, and your own Secretary can tell you what customers keep asking.

Answer it once

Tell your own Secretary and it edits the knowledge for you. New conversations use it straight away; there is nothing to retrain.

Limits, plainly

What it can read, on Pro and Business.

8,000 characters of notes

Enough for policies, parking, preparation and tone. Move long material into a document.

3 sources on Pro, 5 on Business

Websites and documents counted together. Remove one to make room.

Retrain after you change your site

One tap reads it again. Your setup checklist says when it has not been read for 14 days.

Where does the Secretary get its answers?

From your Store, your opening hours, your notes, your documents and your website. Prices, times and stock always come from the Store.

What happens when nothing covers a question?

It says it does not have that detail instead of guessing. The question is marked in the transcript so you can add the answer, and on your website it asks how to reach the customer.

Do I have to retrain it after every change?

Not for your notes: new conversations use them straight away. After you change your website, tap Retrain Secretary to read it again.

Can it read a scanned menu?

Not inside a PDF; the document needs real text. To turn a menu photo into Store items, use Import from a file or photo instead.

Can it write the knowledge for me?

Yes. Tell your own Secretary what to add, or draft the whole thing with an AI assistant using the recipe in the help guide.

Does the FAQ on my page use the same answers?

Yes. The questions on your page are read by the Secretary too, so the page and the chat give the same answer.
