Top 10 AI secretary tools for small businesses (2026)

Ten AI secretary tools that answer customer messages and book appointments, compared on price, channels and fit: Ordina, Tidio, ManyChat, Podium and more.

OTOrdina Team · 17 October 2026 · 9 min read

"AI secretary" means different things to different people. For some it is an assistant that keeps their own calendar in order. For most small business owners, it is something more practical: a helper that answers customers' messages, books them in and follows up, while you get on with the work.

This list focuses on that second kind: chat and booking assistants that face your customers. If phone answering is your main need, see our separate guide to the best AI receptionists. We have included two calendar assistants at the end for owners whose problem is their own schedule.

Our bias, and how we compared

We make Ordina, so we are biased; here is how we compared and where others are the better choice. In October 2026 we read each vendor's own pricing and product pages and compared what they publish on five points: the channels customers can use, whether it books appointments, whether it takes payment, the starting price, and who it is built for. We did not run paid trials of every product. Where a price was unclear or we could not confirm it, we say so.

1. Ordina: best overall for small service businesses

Ordina is built for one job: being the front desk of a small service business, such as a salon, barber, clinic, tutor or consultant. Its AI Secretary answers in seconds on your booking page, your website chat widget, Telegram and email, and answers phone calls through forwarding (in beta). WhatsApp on your own number is in early access pending Meta's approval, and Instagram and Messenger are in early access pending Meta's review.

Unlike a general chat tool, it finishes the job. It books from your live availability, takes payment upfront or in person, and sends reminders the evening before and about an hour before on WhatsApp. It reads your website so it answers in your words, and it sells products from a built-in Store. Owners run the business from a dashboard, a phone app, or by chatting with their own Secretary. Developers get an API, webhooks and a Claude connector on the Business plan.

Price: Pro $15 a month ($150 a year), Business $39 a month ($390 a year), with a 7-day free trial and no card needed. Local prices are available in several currencies, and Ordina takes no fee from your sales.

Not the right fit if: you need deep inventory management, payroll or a large support desk with ticket queues. Those are other products' strengths.

2. Tidio: best website chat on a budget

Tidio pairs live chat with Lyro, its AI agent, which answers from your help content. There is a free plan with 50 conversations, paid plans from $24.17 a month, and Lyro on its own from $32.50 a month for 50 AI conversations. It covers web chat, WhatsApp, Instagram, Messenger and email.

Choose it if: you run an online shop or a small business that mainly needs website questions answered. Watch out for: booking is not a built-in feature, and costs are metered per conversation.

3. ManyChat: best for Instagram-led businesses

ManyChat automates DMs on Instagram, WhatsApp, Messenger and TikTok, from comment-to-DM flows to AI replies. ManyChat's help centre lists Pro at $29 a month billed yearly (or $39 monthly) for 2,500 active contacts, with more for bigger lists.

Choose it if: your customers find you on Instagram and you want to turn comments and DMs into leads. Watch out for: there is no built-in booking, WhatsApp message fees from Meta are extra, and ManyChat's own pages describe AI pricing differently (included in one place, a $29 add-on in another), so confirm before you buy.

4. Podium: best done-for-you AI employee

Podium's AI Employee answers calls, texts, web chat, social messages and email in one inbox, and books, confirms and follows up using your calendar and customer records. It is sold by industry, with versions for home services, aesthetics and auto.

Choose it if: you are an established local business that wants a managed product and a sales team to set it up. Watch out for: pricing is quote only, so you cannot compare costs without a call.

5. HighLevel: best for agencies and marketing-heavy teams

HighLevel is a marketing CRM with Conversation AI, which replies to leads and books appointments across SMS, web chat and social channels. Plans start at $97 a month. AI is either pay per use or an AI Employee plan at $50 a month per location (1,000 Conversation AI responses) or $97 a month per location for unlimited use under fair-use terms.

Choose it if: you run an agency, or a business that lives on funnels and follow-up campaigns. Watch out for: it is a lot of software for a small shop, and phone, SMS and email usage costs come on top.

6. Intercom Fin: best for support teams

Fin is Intercom's AI agent, priced at $0.99 per outcome (a resolved conversation or completed workflow), on top of seats from $29 a month. It is one of the most capable support agents available.

Choose it if: you run a software or e-commerce support team with a help centre to train it on. Watch out for: it is built for support, not booking, and per-outcome costs grow with volume.

7. Freshchat with Freddy AI: support chat for less

Freshchat has a free plan for up to 10 agents, then Growth at $19, Pro at $49 and Enterprise at $79 per agent a month, billed yearly. The Freddy AI Agent costs $49 per 100 sessions, with 500 free sessions once per account on paid plans.

Choose it if: you want a support inbox with AI and you already use other Freshworks tools. Watch out for: WhatsApp and social channels need a paid plan, and it does not book appointments.

8. SimplyBook.me: best booking system with AI add-ons

SimplyBook.me is a mature booking system with a free plan (50 bookings a month) and paid plans that, for our region, were shown in euros from €11.9 a month billed yearly. Its AI Voice Booking add-on lets clients book by speaking or typing, sold as credits at $8 per 100. It takes payments through Stripe, PayPal or Square from the Basic plan up.

Choose it if: you want a classic booking system first and some AI on top. Watch out for: AI is billed by credit, and the pricing page does not say which plans include its AI assistant.

9. Calendly: best for scheduling links

Calendly is the familiar way to share a booking link. It is free to start, with Standard at $10 per seat a month billed yearly. Its AI scheduling assistant, Callie, is in beta and schedules on your behalf over email.

Choose it if: you book meetings with clients and mainly need a clean link. Watch out for: it does not chat with customers or answer their questions, and Callie is still in beta and English only.

10. Reclaim.ai: best for your own calendar

Reclaim is an AI calendar planner that protects focus time, fits in habits and finds meeting times. It is free to start, with Starter at $10 per seat a month billed yearly ($12 monthly) and Business at $15 ($18 monthly).

Choose it if: your problem is your own diary, not your customers' messages. Watch out for: it is built for internal time management, not customer conversations, and scheduling links are limited on lower plans.

How to choose your AI secretary

Ask three questions:

  1. Where do your customers message you? Website only (Tidio), Instagram (ManyChat), everywhere including calls (Podium, Ordina).
  2. Should it finish the job? If you want it to book and take payment, not just answer, shortlist Ordina, Podium, HighLevel or SimplyBook.me.
  3. Who will run it? A solo owner needs something that works in an afternoon. Agencies and support teams can handle HighLevel, Intercom or Freshchat.

Where Ordina is not the best choice

If you run a support team with ticket queues, Intercom Fin or Freshchat will suit you better. If you are an agency running campaigns for many clients, HighLevel is built for that. If you mainly need Instagram automation, ManyChat goes deeper. Ordina is for small service businesses, in many countries, that want one assistant to answer, book, take payment and remind.

FAQ

What is an AI secretary?

An AI secretary is software that handles front-desk work: answering customer questions, booking appointments, sending reminders and following up. Some tools also manage your own calendar.

What is the best AI secretary for a small business?

For small service businesses that want answering, booking and payments in one place, we built Ordina for exactly that. For website chat only, Tidio is a good budget choice. For Instagram-first businesses, ManyChat is strong.

How much does an AI secretary cost?

Most tools here start free or between $10 and $30 a month. Support-focused agents such as Intercom Fin add per-outcome fees, and managed products such as Podium are quote only.

Can an AI secretary take payments?

Some can. Ordina takes payment upfront or in person when customers book or order, and SimplyBook.me supports Stripe, PayPal and Square. Many chat tools only answer questions.

Is an AI secretary the same as an AI receptionist?

They overlap. An AI receptionist usually means phone answering, while an AI secretary tends to cover messages, booking and follow-up. Our AI receptionist guide covers the phone-first tools.
