Take bookings on WhatsApp

How customers reach your Secretary on WhatsApp, what to share, and how conversations show in the dashboard.

On Pro and Business, customers can chat with your Secretary inside WhatsApp, book, pay and get reminders there, without opening a browser.

How it works

Ordina runs a WhatsApp number that many businesses share. Your customers reach your Secretary on it in one of two ways:

  • Your WhatsApp link. On Home, tap Copy WhatsApp link. Opening it starts a WhatsApp chat with your handle already typed, so the first message routes to your business. Share it anywhere you share your booking link.
  • Texting your handle. A customer can also just send your handle (for example glowandco) to Ordina's WhatsApp number, even if they were talking to another business on it a minute ago.

From then on, the Secretary replies as your business, with your name and knowledge. Returning customers are recognised by their number and greeted as regulars.

What customers can do there

Ask questions, get real slots, book, receive the payment link, pay, get the confirmation with the QR code, get the reminder, and reschedule by replying. Everything you have set up on your page works the same on WhatsApp.

What you see

Every WhatsApp conversation appears in Messages with the channel marked, and bookings land in Appointments as usual. Your own alerts can also come to WhatsApp under Profile → Notifications.

Where to put the link

  • WhatsApp status ("Book me here"), once a week.
  • Instagram bio, next to or instead of your booking link, if your customers live on WhatsApp.
  • A "Chat on WhatsApp" button on your website.
  • Printed with a QR code by the counter.

Good to know

  • It is not your personal WhatsApp number, so your phone stays quiet and your customers never see a number they should call at midnight.
  • Customers can reply STOP to opt out of reminders on WhatsApp; email continues.
  • Conversations are read-only in the dashboard, like every other channel. To talk to a customer yourself, use the contact details on their appointment.
