How a booking happens, from the customer's side

The exact sequence a customer goes through, so you know what they see at every step and what lands in your dashboard.

It helps to have seen your own booking page as a customer at least once. Open your link in a private browser window and book something. This is what happens.

1. They open your link

Your page loads with your photo, services and hours, and the Secretary greets them by the name you gave it. On a phone the chat sits at the bottom; on a laptop it is beside the page.

2. They ask, or just say what they want

"Do you have anything Saturday afternoon?" or "I want a gel manicure". The Secretary answers from your catalogue and knowledge, and asks what it needs to: which service, which day, roughly what time.

3. It offers real slots

It checks your hours, your capacity, existing bookings and, if connected, your Google Calendar, and offers two or three times that are actually free. If the customer's first choice is gone it says so and offers the nearest.

4. It collects details

Name, email and, if you have Ask for phone number on, a phone number for reminders. For a travel-to-client service it asks for the address. Returning customers on WhatsApp are recognised and skip this.

5. Payment, if the service asks for it

  • Pay Online: a secure payment link opens in the chat. The slot is held while they pay.
  • Pay at Venue: no payment now; the confirmation says payment is due on arrival.
  • Customer's Choice: the Secretary offers both.

For products, the same happens with a cart and a checkout.

6. Confirmation

The moment the booking is confirmed, the customer gets an email with the service, date and time, your address (or the video link, or a note that you will come to them), and a QR code they show at the counter. If they gave a phone number, the confirmation also goes by WhatsApp or SMS. The appointment appears in your Appointments tab and, if connected, on your Google Calendar with a video link where relevant.

7. Before and after

  • A reminder the day before, with a way to reschedule.
  • After you mark the appointment complete, a thank-you with a link to leave a review.

What you see meanwhile

Every message is in Messages as it happens. Home shows today's bookings and what the Secretary did. Your notification settings decide whether you also get an email, a push notification or a WhatsApp/SMS alert for each new booking.
