Manage appointments: confirm, complete, cancel

The Appointments tab, its filters, the detail view, and what each action does.

Appointments is your full booking history, with a search box and four tabs.

The tabs

  • Upcoming: everything from now on, soonest first. The count of today's active bookings is at the top.
  • Unconfirmed: bookings that still need something from you or the customer. A paid booking that has sat for 48 hours without being acknowledged is flagged Needs attention, because the customer has paid and is waiting to hear from you.
  • Completed: past appointments you marked complete. The completion rate over the last 30 days is shown.
  • Cancelled: cancelled by you or the customer, with refunds marked.

Search by name, service or date.

The appointment detail

Open any appointment to see:

  • Appointment: service, date, time and booking ID.
  • Where: your location, "You travel to the client" with an Open in Google Maps link, or "Online video call" with a Join the call link.
  • Payment: Paid Online with the transaction ID and method, or Pay at Venue with "Payment due on arrival".
  • Client notes: anything the customer said about requirements.
  • Customer contact: email and phone, with Send email and Call client buttons.

Actions

  • Mark as complete once the visit has happened. This triggers the thank-you email and review link, moves the booking to Completed, and counts it in your reports. Get into the habit of doing it at the end of each day.
  • Propose reschedule opens the reschedule flow. See Reschedule or cancel.
  • Cancel cancels the booking and, for online payments, lets you refund.

A booking you did not expect

Every booking comes from a conversation. Open Messages, find the customer's name, and read what was agreed. The transcript is the record.
