Run events and sell tickets

Sell a fixed number of tickets, take payment up front, and check people in at the door with the QR scanner.

Ordina was built for appointments, but a ticketed event is just a booking with a fixed time and a fixed number of seats. Two ways to set it up; pick by how you want the door to work.

Option A: a bookable event with capacity (best for check-in at the door)

Every ticket is a booking, so every guest gets a confirmation with a QR code, and you scan them in.

  1. Store → Services: add a service, kind Book a time, named for the event ("Candle-making workshop, 14 June"). Duration = the event length. Price = ticket price, payment Pay Online.
  2. Store → Profile → Simultaneous appointments: set it to the number of seats (say 20). This is your capacity across all services during that time, so if you also take normal appointments, do this on a day you are otherwise closed, or see the note below.
  3. Set your business hours for that day to start at the event time and end when it ends, so the only slot the Secretary can offer is the event itself.
  4. In the service description and your knowledge base, say what is included, where it is, and that tickets are non-refundable inside 48 hours (or whatever your policy is).
  5. Share the link. Guests ask the Secretary, it offers the one slot, takes payment, and sends the confirmation with a QR code. When the 20th seat is booked it says the event is sold out.

At the door: open Scan, scan each QR, tap Check In. Guests get a thank-you email; you get an arrivals list.

Running the event on a normal working day? Capacity is global, so a temporary "20" would let 20 haircuts overlap too. In that case use Option B, or create the event as a separate Ordina account.

Option B: tickets as a product (best for larger numbers or multiple ticket types)

  1. Add a product per ticket type ("General admission", "VIP"), kind Order / buy, Pay Online, with Stock = the number available.
  2. Add custom questions if you need names of each attendee or dietary needs.
  3. The Secretary sells them, the buyer gets an order confirmation and receipt, and stock counts down to sold out.

At the door, use Orders as your guest list and Mark as fulfilled as people arrive. Orders do not carry a QR code, so this is a name check rather than a scan.

Promoting it

  • Post your booking link with the event name; the Secretary knows it and sells it.
  • Ask your own Secretary a week before: "How many tickets have we sold for the workshop?"
  • After the event, mark bookings complete to send the thank-you and collect reviews.
